Voice reminders: how clients confirm or cancel with their keypad

Press 1 to confirm, 9 to cancel

When a client answers a voice reminder call, they can reply using their phone's keypad:

Key

What it does

1

Confirms the appointment

9

Tells you they can't make it; the appointment is marked as cancelled

*

Plays the message again

After pressing 1 or 9, the client hears "Thank you, your response has been recorded. Goodbye." and the call ends. Their response shows on the appointment in Appointment Reminder.

Tell your clients which key to press

The call only says what's written in your voice message. The default message only mentions 9:

"…If you cannot make this appointment please press 9 now, otherwise we look forward to seeing you then."

If you want clients to confirm with 1, add it to your message:

  1. Go to Scripts and click Edit on your script.

  2. Find Phone Voice Message.

  3. Add a line such as: "Press 1 to confirm, or press 9 if you can't make it."

  4. Click Save.

If you use more than one script, or voice messages in other languages, update each one.

Change the appointment color when a client responds

You can have appointments change color automatically. In your calendar's settings, turn on:

  • Change appointment color when appointment confirmed?

  • Change appointment color when appointment cancelled?

Good to know

  • Only the first key a client presses is counted.

  • If the call goes to voicemail, the message is left but the client can't press a key. They'll need to contact you directly.
